Preserving Data Visualizations as the School Year Ends
Before Summer Break: Save Your Student Achievement Data Now
The end of the school year is a busy time, and there's one task worth adding to your wrap-up list before you log off for the summer.
Every year in late June, July, or early August, Classworks automatically backs up and archives your school's data as part of the annual rollover process. This archive captures raw data — screener scores, learning activity results, and progress monitoring records — and preserves it in spreadsheet form for future reference.
What is Automatically Preserved?
The annual archive includes spreadsheet data for each student, covering:
- Universal Screener results — scale scores and percentile rank across all three testing windows
- Individualized Learning results — unit averages, time on task, and units completed
- Progress Monitoring results — session dates and weekly scores
- Mastery Measurement results — session dates and weekly scores
This raw data is secure. You don't need to do anything to preserve it.
What You Need to Save Before Rollover?
- Anything that includes a chart, graph, or formatted layout must be downloaded manually.
- Once rollover occurs, these visuals cannot be recovered.
Teaching Staff and Administrators each have access to different data visualizations. A team approach helps ensure all charts, graphs and tables are preserved.

Teachers and Staff: Run these Reports for your Classes
- Student Screener Summary Reports (with growth charts and percentile graphs)
- Individualized Learning Standards Mastery Reports (ELA and Math)
- Progress Monitoring and Mastery Measurement Student Results Reports
- SE Competency Survey results, if shared with families or placed in student files (can be included in Student Screener Summary Reports)
Building and District Leaders: Preserve these Charts and Graphs
- Insights Dashboard PDFs — Assessment and Growth, Individualized Learning, and SE Competency Survey tabs
- Any charts or domain proficiency visuals used in board reports, staff presentations, or school improvement planning
PRO TIPS:
- The SE Competency Survey Insights report should be set to the Spring testing window before generating a PDF.
- The Individualized Learning Standards Mastery Report must be run separately for ELA and Math.
- Progress Monitoring reports are also run separately by subject and type (Domain-Based or Curriculum Sampling).
- Student Screener Summary Reports can include SE Competency Survey results — this combined report is commonly added to cumulative student files at the end of the year.
